Terms & Conditions
By booking a session with Auvi Portrait Room, you acknowledge that you have read, understood, and agree to the following Terms & Conditions.
1. Booking & Payment
Full payment is required at the time of booking to reserve your session.
Bookings are confirmed once payment has been successfully processed.
2. Rescheduling & Cancellation
Sessions may be rescheduled one time with at least 24 hours' notice. Additional rescheduling requests are subject to availability and approval by Auvi Portrait Room.
Cancellations are non-refundable.
Requests to reschedule made less than 24 hours before the scheduled session may not be eligible for rescheduling.
If Auvi Portrait Room must cancel a session due to studio closure, equipment failure, building access issues, or other circumstances that prevent the session from taking place, the guest will be offered the option to reschedule, receive studio credit, or receive a refund for the affected session.
3. Arrival & Session Time
Please arrive on time for your scheduled appointment.
Your reserved session begins and ends at the scheduled time. Late arrival will reduce the amount of time available for your session.
For the courtesy of other guests, sessions cannot be extended due to late arrival.
4. Self-Guided Studio Experience
Auvi Portrait Room is a self-service photography studio. No photographer will be present during your session.
The professional camera and studio lighting are preset for your session. Guests are responsible for operating the provided remote shutter, following posted studio instructions, and using the studio safely.
Guests may not touch, move, adjust, unplug, modify, or attempt to access the camera, mirror cabinet, professional lighting, monitor, or other technical equipment.
5. Studio Capacity & Minors
Up to 6 guests may participate in a standard session unless otherwise approved in advance by Auvi Portrait Room. Guests planning a larger group or team session must contact Auvi Portrait Room before booking.
Guests under 18 must be accompanied and supervised by a parent, legal guardian, or responsible adult at all times.
The booking guest is responsible for the conduct and appropriate supervision of everyone attending the session.
6. Studio Rules
To maintain a safe, clean, and enjoyable environment, the following are prohibited:
- Smoking or vaping
- Open flames or candles
- Food or beverages near photography or technical equipment
- Glitter, confetti, powders, paint, smoke effects, or other messy materials
- Standing or climbing on furniture or equipment
- Moving or adjusting mounted lighting, camera equipment, or other technical equipment
- Attempting to access the camera system, mirror cabinet, computer system, or secured equipment areas
- Illegal activity or possession or use of prohibited items in violation of applicable law or building policy
- Pets, except service animals as required by applicable law
- Guests agree to leave the studio in substantially the same condition in which it was found.
7. Care of Equipment & Property
The studio contains professional photography equipment, furniture, décor, lighting, electronics, and a custom two-way mirror system.
Guests agree to use studio furnishings and permitted equipment responsibly.
Furniture and movable posing pieces or props may be repositioned during the session unless otherwise marked. Guests must return these items to their designated locations before leaving.
Guests may be financially responsible for damage to studio equipment or property resulting from negligence, misuse, intentional acts, or violation of these Terms & Conditions, to the extent permitted by law.
8. Cleaning
Guests are expected to leave the studio reasonably clean and ready for the next session.
If excessive cleaning is required due to prohibited materials, spills, misuse, or failure to follow studio rules, Auvi Portrait Room reserves the right to charge a reasonable cleaning fee reflecting the additional cleaning required.
9. End-of-Session Responsibilities
Guests are responsible for following all posted end-of-session instructions.
Before leaving, guests must return movable furniture, posing pieces, props, and remotes to their designated locations; collect all personal belongings; dispose of trash appropriately; and ensure the studio door closes securely behind them.
Guests must not unplug, shut down, reposition, or otherwise alter photography or technical equipment unless specifically instructed to do so.
10. Image Delivery & Gallery Expiration
Images from your session are generally delivered the same day through a private online gallery. Technical or operational issues may occasionally delay delivery.
Galleries will remain available for 14 days from delivery. Guests are responsible for downloading and securely backing up their images before the gallery expires.
After the 14-day period, galleries and image files may be permanently deleted and may not be recoverable. Auvi Portrait Room does not guarantee storage or recovery of images after the gallery expiration date.
11. Client Images & Privacy
Images created during your session are private and will not be used by Auvi Portrait Room for social media, website content, advertising, or other promotional purposes without your permission.
Auvi Portrait Room may contact you after your session to request permission to feature specific images. You are under no obligation to grant permission, and declining will not affect your session or services.
12. Included Print Collection
Each session includes the Print Collection stated in the session description at the time of booking.
Guests may select the images for their included prints through their private online gallery. Included prints are professionally produced by a third-party professional photo lab and shipped directly to the shipping address provided by the guest. Standard shipping for the included Print Collection is included.
Print selections must be submitted before the guest's gallery expires. Guests are responsible for reviewing their image selections and providing an accurate shipping address before submitting their order.
Included Print Collections are not redeemable for cash and have no cash value if unused or unclaimed.
Additional prints and products may be available for purchase separately through the online gallery and are subject to the pricing, shipping charges, taxes, and other terms displayed at checkout.
13. Image Editing
Images are delivered as captured during your session.
Professional retouching or image editing is not included unless otherwise stated as part of your booking or purchased separately when available.
14. Technical Issues
Auvi Portrait Room makes reasonable efforts to maintain reliable photography equipment, software, lighting, internet connectivity, and other studio systems. However, technical issues may occasionally occur.
If a technical malfunction significantly affects your ability to complete your session or receive your images, Auvi Portrait Room will provide an appropriate remedy based on the circumstances. This may include additional studio time, a replacement session, studio credit, or a refund for the affected session.
15. Security Cameras
For the safety of guests and protection of studio equipment, security cameras are present within the studio.
Security cameras are used sfor security and operational purposes..
Guests may not disable, cover, move, unplug, obstruct, or otherwise interfere with security equipment.
16. Shared Building & Common Areas
Auvi Portrait Room operates within a shared commercial building.
Guests must be respectful of neighboring businesses and shared areas, including hallways and restrooms. The studio door must remain closed during the session, and guests may not obstruct, congregate in, or create excessive noise or disruption within shared areas.
Guests must follow all posted building rules and any instructions regarding the appropriate use of common areas.
17. Assumption of Risk
Participation in a self-guided photography session involves ordinary risks associated with moving through and using a photography studio, including interaction with furniture, posing pieces, lighting equipment, and other studio furnishings.
Guests agree to follow all posted instructions and studio rules and accept responsibility for their own conduct and safety while using the studio.
Parents, guardians, and responsible adults are responsible for supervising minors in their care.
18. Release of Liability
To the fullest extent permitted by applicable law, Auvi Portrait Room and its owners, employees, contractors, and representatives shall not be liable for injuries, accidents, loss, theft, or damage to personal property arising from a guest's negligence, misuse of the studio, failure to follow instructions, or violation of these Terms & Conditions.
Nothing in these Terms & Conditions is intended to waive or limit any right or liability that cannot legally be waived or limited under applicable law.
19. Personal Property
Guests are responsible for all personal belongings brought into the studio or shared building areas.
Auvi Portrait Room is not responsible for lost, stolen, forgotten, or damaged personal property to the extent permitted by applicable law.
20. Right to Refuse or End a Session
Auvi Portrait Room reserves the right to refuse entry or immediately end a session if a guest:
- Violates studio rules or these Terms & Conditions
- Misuses, tampers with, or damages studio equipment or property
- Creates an unsafe condition
- Engages in illegal, threatening, abusive, or seriously disruptive behavior
- Interferes with neighboring businesses or shared building operations
A session ended due to a guest's violation of these Terms & Conditions may be terminated without refund, to the extent permitted by law.
The individual completing the booking accepts responsibility for communicating applicable studio rules to all guests participating in the reservation.
